AeroSim Portal privacy notice
Last updated 29 October 2026
This notice explains what personal data the AeroSim Portal (aerosimportal.cape-horn-eng.com) collects, why, who else handles it and what your rights are. The portal is run by Cape Horn Engineering Ltd, Gatcombe House, Copnor Road, Portsmouth PO3 5EJ, United Kingdom, which is the controller of this data. Questions and requests: info@cape-horn-eng.com. For our main website, see the Cape Horn Engineering privacy policy.
What we collect and why
| Data | Why | Legal basis |
|---|---|---|
| Account: username, name, email address, password (stored only as a secure hash), company, address, country, VAT number | To run your account, invoice you with the right VAT and contact you about your simulations | Contract |
| Optional profile details: role, type of business, a public link (LinkedIn, website or Instagram), how you heard about us | To understand who uses AeroSim, improve the service and our support, and award the profile bonus. Staff may look at the public page you link to, to confirm a profile is genuine | Legitimate interests; you choose whether to give them |
| Uploads and results: your geometry and run matrices, simulation results, reports and images | To run the simulations you ask for and let you download the results | Contract |
| Tokens and payments: purchases, invoices, token use, refunds, bonus tokens | To sell and account for tokens, and to keep the records the law requires | Contract; legal obligation (accounting records) |
| Referrals: who invited whom with a personal referral link, and the invited user's first purchase | To give the referral bonuses | Legitimate interests |
| Technical data: IP address, browser and log entries, login times | To keep the portal secure and working, and to investigate faults | Legitimate interests |
We email you about your account, your simulations and your payments. We may also send occasional news about AeroSim to existing customers; every such email has a link to stop them.
Payments
Card payments are taken by Stripe on Stripe's own payment page; the portal never sees or stores your card details. Stripe sends you the receipt and invoice. Bank transfers go to our account with Wise. Both act under their own privacy terms for the payment data they handle.
Who else handles your data
- Google Cloud hosts the portal and its backups (data centre in Belgium, EU).
- Simulations run on Cape Horn Engineering's own computing servers.
- Dropbox carries result files from our servers to the portal; the portal removes them from Dropbox once it has them.
- Stripe and Wise for payments, as above.
- Our email provider sends and receives the portal's emails.
- Pages load fonts and scripts from public content networks (for example Google Fonts and jsDelivr), which see your IP address when your browser fetches them.
Some of these providers may process data outside the UK; they do so under the safeguards in their terms (such as UK adequacy regulations or the UK International Data Transfer Addendum). We do not sell your data.
Cookies
The portal uses only the cookies it needs to work: one that keeps you logged in and one that protects forms against misuse. There are no advertising or analytics cookies, so we do not ask for cookie consent.
How long we keep it
We keep your account, uploads and results while your account is open, so that you can download results again. Payment and invoice records are kept for at least six years, as UK accounting rules require. Backup copies of the portal's database are kept for 90 days and disk snapshots for 14 days. You can ask us at any time to delete your account and your data; we will do so unless we must keep something by law.
Bonus tokens
Free bonus tokens (for completing your profile or for referrals) are used before tokens you bought, and any still unused six months after they were given expire. Tokens you buy do not expire.
Your rights
You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, and to receive it in a portable form. Most account details can be changed on your profile page; for anything else, email info@cape-horn-eng.com. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ico.org.uk).
Changes
We will update this notice when the portal changes; the date at the top shows the latest version.
